Setup Process

Businesses using FieldPhotos to help them Capture, Upload, Save, Share and Sync Photos directly to the office PC or Mac you should start by setting up a brand new Google Account specifically designated for managing photos for your business.  For example you can call it YourBusinessNamePhotos@Gmail.com.

To get started click on  number 3. Setting up Google Drive (Cloud Side) below to setup your dedicated free 15 gigabyte Google Drive account for your business photos.  After that go to number 4. Setting up Google Drive (PC/Mac Side).  After that go to number 1. Purchasing FieldPhotos and then after that go to number 2. Using FieldPhotos.

How Some Businesses Use the FieldPhotos System:

Now that you have the system up and running how do you use it?  We think there are a number of ways but this is how we use the system to the fullest.  After you review these suggestions you can mix it up to match your specific needs for your business.

FieldPhotos Work Flow Process For Property Preservation:
Simple, Safe and Fast!

FieldPhotos was designed to be a simple to use photo retrieval app that works with all clients because it does not interface with client specific apps or programs.  If you are like most vendors you have several clients and your photo retrieval app needs to cater to the bulk of your work.  Below is an example of how you can implement FieldPhotos into your business and be successful right from the start.

1) Client sends vendor work order via web portal or email.

2) Vendor reviews and assigns work order to field crew by printing or emailing

3) Field crew takes a photo of the work order then starts to drive to property. FieldPhotos automatic photo uploading system sends photo to office computer. Office personnel can tell exactly where the field crew is heading.  Once the field crew gets near the work order address they take a photo of the street sign name, house number and compare it to the work order to make sure they are at the correct property. FieldPhotos instant sync sends the photos directly to your office computer showing the exact date and time the work was started.  As work is performed before, during and after photos are taken and FieldPhotos is constantly automatically uploading new photos to your office computer in seconds as they are taken in the field. As required field crew fills out paper work. They take a picture of it and FieldPhotos sends it directly to the office for processing.  Next field crew takes a photo of the next work order assignment. This tells the office that the crew is on the way to the next assignment. This simple process restarts for each additional work assignment.

4) Again, FieldPhotos Instant Sync Cloud Safe automatic photo uploading system sends all photos taken by this crew member directly to a personalized daily folder.  This folder is automatically created for each crew member each day.  This leads to an organized Google Drive folder with the capacity to handle dozens of employees and sub-vendors.  FieldPhotos is like having an unpaid assistant working with your field crew to handle tedious tasks like texting and emailing photos.  Keep your field crews working on getting jobs completed in the field and office processors working on office work.  Don’t mix them up by having your field crews pushing buttons on a computer or smartphone as this is not very efficient.

5) The Office processors work with all the photos by arranging them, labeling them, along with bids, reports, updates, and invoice for work completed according to client guidelines.

NOTE: Special work assignments like property securing need special attention and require detailed authorization procedure for field crew members. These procedures include office personnel assisting field crews to run second and third party address verification using various internet sites. Only relying on GPS for address verification can lead to serious mistakes being made by field crews.  Performing services on the wrong address must be avoided 100% of the time. FieldPhotos will help make this verification process faster by automatically sending photos of the address street sign name, house number and property photos to verify address accuracy along with occupancy verification. With our process Field crews are required to call the office and go through a securing authorization process and must be given a securing authorization or denial number before proceeding with any securing type work order.

Maintenance:

We recommend that you perform weekly or monthly maintenance on your smart devices used to take photos and your Google Drive used to store your photos.  Doing so will eliminate any unplanned downtime by exceeding the storage capacity of either smart device or Google Drive.

First we will address the smart device maintenance:

  1. Connect the smart device via USB cable to a computer, a box will pop up on the computer or you will see the Folder Icon flashing, select the folder, then select “Open the Device to view files using Windows Explorer”.
  2. Next popup will show the camera folder it will let you choose the cameras internal memory or the card, choose the card.
  3. In the Card folder there is a folder for DCIM (photos), open that folder.
  4. Select all photos in that folder and save them as needed.
  5. After they are saved, delete them off the camera. (this will free up the space so the smart device will keep working as new photos are added.)
  6. Do this with all your smart devices each week or month as needed.
  7. Next test your smart devices by taking a couple photos to make sure the photos are going the correct folder for each crew member.

Google Drive Maintenance:

  1. Open Google Drive on the PC
  2. Select the files you want to delete information.  (We delete all photos older than 7 days. This allows us to have a backup for each employee and sub-vendor for 7 days plus the following 7 days. Remember these files or photos have already been saved to another location on the server or PC.  We are just deleting files that take up excess storage space on the Free Google drive.  If you are using the daily folder creation feature in FieldPhotos you can select the folder and delete it and it will treat it like a single file and that means the delete and sync time will be very fast.  If you select each photo individually it will take much more time to delete and sync to complete.
  3. A popup window will appear stating “Item(s) you recently removed from your Google Drive folder have been moved to your trash on drive.google.com” and you have two option buttons, choose one:  1. OK, move to trash or option 2. Undo
  4. During this time the these files will be deleted on both the PC/MAC and Cloud Side of your Google Drive.  To free up the space empty your Recycle Bin on PC and empty to Trash on Google Cloud Side.
